Approval cycle — four times shorter
A steel supplier competing on B2B tenders. We pulled requests, specs and approvals into a single pipeline — so reps stopped losing deals in paperwork.
Where we started
A steel supplier that sells through B2B tenders. Every deal means a spec, pricing, a commercial quote and sign-off from several people.
Requests came in by email, in messengers and over the phone and lived in different spreadsheets. A rep built the spec by hand, priced it personally and then waited for approvals. A quote took about a week, and the whole approval cycle stretched to 45 days.
Tenders have submission deadlines, and some were lost only because the team ran out of time. There was no single view of deal status, so bottlenecks were hard to see.
The goal: shorten the path from request to quote and never drop a request.
The pain points
- Approval cycle running up to 45 days
- Requests scattered across email, chats and spreadsheets
- Specs priced by hand, slowly
- Tenders lost because of timing
- No single view of deal status
What we built
Merged every request channel (email, chats, phone) into one Kommo pipeline
AI reads the spec straight from the email and drafts the quote
Auto-pricing from the price list and live warehouse stock
Approvals run through e-signing with auto-reminders to owners
A dashboard shows the status of every tender and where it stalls
How the solution works
The path of one tender request from the email to an approved quote. The rep steps in once the draft is ready.
- RequestAn email, a messenger message or a call becomes a deal in Kommo. Requests no longer scatter across spreadsheets: all of them are in one system.
- SpecAI reads the spec straight from the email, so nobody retypes line items by hand.
- Price and draft quoteThe price is calculated from the price list and warehouse stock, and AI assembles a draft quote. According to the client, a draft now takes hours.
- RepReviews the draft and takes the quote through to sending it to the customer.
- ApprovalApprovals run through e-signing, owners get automatic reminders, and documents do not sit idle.
- ManagerA dashboard shows the status of every tender and where it stalls.
The result in money
Faster quotes mean more tenders won from the same flow of requests.

I want the same“A quote used to take us a week. Now AI drafts it in hours, and we hit the deadlines on tenders we used to skip entirely.”
Timeline and how we work
This is how we run every project. First a free express audit: we follow a request from the first email to the contract and see where it loses days.
Then a pilot on your data and the launch. Result targets and the guarantee go into the contract: if we miss them, we keep working for free or refund you.
How a project runs
- Express audit — 1 hour, free
- Implementation plan — 3 more hours
- Pilot on your data
- Launch — from 7 days
- 2 weeks of support included
What you can repeat
A similar approach works if:
- you sell through tenders or long approval chains, and submission deadlines matter;
- requests come in through several channels: email, messengers, phone;
- specs and quotes are put together by hand, while the price list and stock already live in your accounting system;
- approvals pass through several people and get stuck.
Where to start: bring requests and approvals together with CRM implementation, see how it works in B2B sales, or cover the whole funnel with sales automation.
