What an AI knowledge base is

A corporate knowledge base with AI is search that comes back with a ready answer from your own documents. A sales rep, a support agent or a customer types a question the way they would ask a colleague. The AI finds the right passages in your policies, price lists, manuals and CRM data, answers from them and shows which document the answer came from. If the documents don't cover it, the AI says so and hands the question to a person. People also call this a corporate GPT: a language model that answers from your documents rather than from “what the internet knows”.

How it works under the hood is covered on our blog: RAG architecture explained.

How the AI finds an answer

01

Your documents

Policies, price lists, manuals, wiki pages and CRM. We take them as they are, nothing needs rewriting.

02

Search by meaning

“How much is shipping to Berlin” finds the section “Regional delivery rates”, even though the words differ.

03

Answer with a source

A short answer plus a link to the document it came from, so anyone can open it and check.

Who uses it inside the company

Sales

On a call, a rep can't remember the installment terms or the shipping lead time. They ask in a chat and see the answer from the price list or policy within seconds. No digging through folders, no pinging the manager.

Support

Routine questions get an answer from the product documentation. Complex ones go to a person together with a draft reply and links, so the agent only checks and sends.

New hires

“How do we usually do this?” goes to the AI. New people ramp up faster, senior colleagues get interrupted less.

Customers

The same knowledge base works outside too: an AI agent answers customers in WhatsApp, Telegram and on your website from the current price list and terms, 24/7.

Legal and HR

Search across contracts and templates, answers to employees about internal policies and procedures without a queue at HR.

What else AI on your data can do

Assistant in the work tool

Hints and draft replies right where the employee already works.

Classification

Sorts requests, documents and tickets into categories.

Summaries

Turns a long contract or email thread into the key points in seconds.

Which sources we connect

The knowledge usually exists already, just scattered: some in a shared drive, some in a wiki, some in the heads of senior reps. During the audit we look at where everything lives and what shape it is in. Documents are used as they are.

Corporate GPT vs a public chatbot

Many teams start with ChatGPT in a browser tab: paste a chunk of a policy and ask. That is fine for a one-off task. For a team's daily work the questions start: where did the answer come from, is it current, and what data just left for an outside service.

Data and access

Who keeps the answers current

The AI answers exactly as the documents say. So from day one we agree on a few simple rules.

Owner

The company names a person in charge, usually a department head or whoever already maintains the policies. They decide which documents are the main ones.

Updates

Drop the new price list or policy in place of the old one and the AI answers from the new version. No model retraining.

Gaps

Questions the AI couldn't answer show up in the history, which tells you which document to write next.

Conflicts

If two documents say different things, it surfaces during the pilot. We decide which source wins and remove the outdated one.

Case: B2B SaaS support answers 48 times faster

The product was growing, and so were support and pre-sales requests. To answer a complex question, an employee searched the documentation, the wiki and past tickets — up to 40 minutes per request.

We brought the knowledge base and documentation into a single store for the AI. Now an AI on the Claude model finds the answer, checks the sources and writes a draft with quotes from the documents. Simple requests are closed automatically, complex ones go to a person.

How we roll it out

01 · Express audit, 1 hour

Free. We look at where the knowledge lives, which questions staff and customers ask most often and how much time goes into finding answers.

02 · Plan, 3 more hours

Sources, access rights, where the AI will live (a separate chat, the CRM, a messenger), success metrics.

03 · Pilot on your data

We build the base from real documents and test it on real employee questions, tuning until the answers are right.

04 · Launch, from 7 days

We onboard the team and, if needed, an AI agent for customers.

05 · Support

2 weeks after launch are included. After that it's up to you: new sources and answer tuning.

Success metrics go into the contract. If we miss them, we keep working for free or refund your money.

How much a corporate knowledge base costs

The price depends on the volume of documents, the number of sources and integrations. We quote the exact amount after a free express audit.

Module · from $650

One task, for example a knowledge base for the sales team built on price lists and policies.

Complex project · from $3,750

Several departments and sources, connected to the CRM and an AI agent for customers.

Support · from $400/mo

New sources and answer tuning after launch.

All prices are on the pricing page.

Questions about a corporate knowledge base

ChatGPT answers from general knowledge and whatever you paste into the chat. A corporate knowledge base answers from your company documents, links every answer to its source, respects access rights and picks up updated documents right away.
We work under NDA. Before launch we agree which documents and fields can be passed to the model and which stay closed.
That usually surfaces during the pilot, when one question gets two different answers. Together with the knowledge base owner we decide which document wins and remove the outdated one. If the documents have no answer, the AI says so and hands the question to a person.
